Service Agreement
Terms and Conditions

When booking an event installation with Balloon Craze, this document serves as a reference for our services and Terms & Conditions. Terms of Service Acknowledgment. Please read these Policies carefully before engaging with any services provided by Balloon Craze (“the Vendor”, “Independent Contractor”). Your access to and use of our services is contingent upon your acceptance of, and compliance with, these Terms.


These Terms apply to all clients, customers, users, visitors, and anyone else who utilizes or inquires about our services.


By booking or utilizing services provided by Balloon Craze, you are acknowledging that you have read, understood, and agree to be legally bound by these Terms. If you do not agree to any portion of these Terms, you should not use or request our services.
Balloon Craze reserves the right to update, change, or replace these Terms at any time and at our sole discretion.

Booking

An event is ONLY considered "booked" after payment of a non-refundable retainer is made by the due date indicated on the service invoice. If the Client allows quotes/invoices to expire, it is understood that the event date and time will be made available to other clients, and any discount or special promotion applied will be removed and invalid.


Balloon Craze strongly recommend scheduling installations at least 30 days in advance, we can accommodate bookings made as early as 2 weeks prior to your event for a rush fee. However, for installations totaling $800 or more, booking a minimum of 30 days in advance is required. Your event will not be officially booked, and your installation date will not be reserved, until Balloon Craze has received both the full retainer fee and the signed Terms & Conditions. Payment due dates for both the retainer and the final balance (if applicable) will be provided prior to the installation date. For smaller items, please contact a member of our team.

 
A retainer fee equal to 50% of the total invoice is required to reserve your event date(s). If the total amount is not yet determined at the time the Terms & Conditions are submitted, a minimum retainer of $100.00 is required. Once the final installation cost is confirmed, the Client is responsible for paying any remaining balance of the retainer fee, if the total exceeds the initial $100. This balance must be paid within 5 days.


If the total invoice is less than $100, the order will be considered paid in full, and any overpayment will be refunded. Please note that if the Client chooses not to proceed with services from Balloon Craze, any retainer payments made are non-refundable and will be forfeited.

Payments

Payments may be made via Debit/Credit Card or Zelle. We accept MasterCard, Visa, Discover, and American Express.


Failure to submit payment by the specified due date may result in one or more of the following:

  • Loss of any applicable discounts, promotions, or complimentary services

  • Forfeiture of any payments already made

  • Release of the reserved event date and time

  • Termination of the contract

Refunds

Balloon Craze is a specialty event company providing custom balloon décor installations. Clients are required to pay a retainer fee based on the size, complexity, and overall value of the installation. This fee must be paid in full before any services are rendered.


Please note the following refund policy:

  • Retainer fees are non-refundable, even if not paid in full.

  • No refunds will be issued for any payments made toward the remaining balance of the installation, regardless of the circumstances.
     

We understand that unexpected situations may require a Client to cancel or reschedule their event. While we are empathetic to such changes, all payments made remain non-refundable. Once an order is accepted, our team begins the planning process immediately—selecting designs, sourcing materials, and coordinating labor and logistics to ensure a flawless installation.
 

The retainer secures Balloon Craze’s availability for your event, and the remaining balance covers necessary materials, labor, travel, and other related expenses. However, if written notice is provided and our cancellation/rescheduling guidelines are followed, we are happy to reschedule your installation for a future date.


Failure to notify Balloon Craze within the required timeframe for cancellations or rescheduling may result in:

  • Forfeiture of all payments made

  • Release of the reserved event date and time

  • Termination of the contract

  • Applicable cancellation fees

Rescheduling

Clients may reschedule their installation with a minimum of seven (7) days’ written notice. The new event date must fall within 365 calendar days from the original installation date and is subject to Balloon Craze’s availability. If the requested reschedule date is unavailable, the cancellation policy outlined below will apply.


To help ensure a smooth rescheduling process, Clients are encouraged to provide both a preferred date and an alternate date in their written request. Rescheduling within the stated guidelines will not incur any cancellation fees.

Cancellations

Clients may cancel their installation without penalty by providing written notice at least seven (7) days prior to the scheduled installation date.


If written notice is not received within this time-frame, a $100 cancellation fee will be applied. Additionally, all payments made—including but not limited to those for the retainer fee, materials, supplies, and labor—will be forfeited and are non-refundable, regardless of the cancellation reason.

Reductions and Charges

Once the Terms & Conditions have been signed, no changes may be made to the scope of the original installation order, including the removal or modification of décor elements.


If the Client wishes to add additional décor, a separate order must be submitted. Acceptance of any additions is at the sole discretion of the Balloon Craze. If accepted, the new order will be governed by this same agreement, including the requirement of a 50% retainer based on the total balance of the new order.

Venues

It is the Client’s sole responsibility to confirm with their chosen venue whether the use of helium tanks, helium balloons, tall structures, wall hangings, tall ladders, or similar items is permitted prior to submitting any payment to Balloon Craze.


If the Client fails to verify venue restrictions before payment, any payments made will be forfeited and are non-refundable, regardless of whether the venue allows the planned installation.

The Client is responsible for arranging complete access to the venue for Balloon Craze staff. This includes, but is not limited to, ensuring:

 

  • All necessary permits, access passes, gate/room entry cards, and staff wristbands are secured in advance

  • Balloon Craze is notified of any room or location changes within the venue with at least 24 hours’ notice

These access arrangements apply to both the setup (installation) period before the event and the breakdown (strike) process afterward, if applicable.
 

If the Client opts to transport props, décor, or equipment on behalf of Balloon Craze, all such items must be returned the following day unless otherwise agreed upon.

Venue Access

Vendor and Event Coordinators

Balloon Craze is committed to delivering high-quality balloon décor installations that elevate your event. Our focus remains solely on the professional execution of our design services. We expect all collaborating vendors and event coordinators to share the same commitment to excellence.


Please note - 

 

Balloon Craze does not assist with tasks designated to other vendors
We are solely responsible for:

  • Maintaining a safe and organized workspace

  • Installing and removing our décor and equipment (if applicable)

  • Cleaning the area used for our setup

We are not responsible for the actions or quality of service provided by other vendors. Any issues or disputes must be resolved directly between the Client and those vendors.


Balloon Craze will not issue refunds due to delays or disruptions caused by other vendors that may impact the quality or timing of our installation.


If the Client is working with an Event Coordinator, it is the Client’s responsibility to ensure the coordinator is fully informed of all installation arrangements in advance of the event day.

Personal Residence Installations

If your event is taking place at a private residence, all standard installation timeframes and access requirements still apply. The Client is responsible for ensuring Balloon Craze including installation team, has the necessary access to complete the setup as scheduled.
Installations may involve the use of various temporary methods such as Command strips, removable wall mounts, and other non-permanent materials. If the Client has a preferred method of installation, this must be communicated to the Balloon Craze at the time of signing the Terms & Conditions, so it can be properly noted on the invoice.

Event Details

The Client must ensure that the venue has the Creative Director’s name and contact information on file for the following reasons:
 

  1. In case of any last-minute changes or updates on our end, having a direct line of communication helps facilitate timely problem-solving without disrupting the Client.

  2. If the venue needs to contact Balloon Craze directly regarding setup or changes, this ensures smooth coordination and minimizes interruptions for the Client on the day of the event.

Installations

To ensure timely and efficient access to the venue, Balloon Craze must receive any required permits, access passes, gate or room entry cards, wristbands, etc., at least 24 hours prior to the scheduled installation.


If access is denied at any time due to lack of communication or failure to provide these items, Balloon Craze will not be held liable for delays, incomplete setups, or missed installations.


Estimated Installation Times:

  • Orders totaling $150–$450 require a minimum of 2 hours

  • Orders totaling $451–$650 require a minimum of 3–4 hours

  • Orders totaling $651 and above require a minimum of 4–5 hours
     

For large-scale or highly detailed installations requiring additional time, the timeline will be evaluated, documented, and customized to ensure a high-quality result. Please refer to our pricing guide for delivery and installation fees.

Client Installations

  • If eligible, the Client may choose to transport and install their order independently.

  • This must be communicated in writing prior to signing the Terms & Conditions and cannot be changed afterward.

  • Clients opting for self-installation will have any delivery and installation fees waived.

  • By choosing this option, the Client assumes full responsibility for the condition, handling, and final appearance of the installation, and Balloon Craze is released from all liability once the order is completed and paid.

Balloon Craze Installations

  • Delivery and installation fees will be included in your event pricing during the booking process.

  • If the full balance is not paid prior to the scheduled installation, the setup will be canceled, and all payments made will be forfeited, non-refundable, and non-transferable.

  • A team from Balloon Craze will arrive at the designated time for setup.

  • The team will require time and space to unload equipment and décor, set up a dedicated work area, and complete the installation without disruption from other vendors.

  • Any remaining time after the installation is complete is not eligible for refunds or discounts.
     

All equipment, props, and décor items remain the property of Balloon Craze and will be returned either the same day, post-event, or the following day if transported by the Client.

Exclusive Balloon Décor Agreement

By agreeing to these Terms & Conditions, the Client acknowledges and accepts that no other balloon vendors, decorators, or companies are permitted on-site at any time during the installation or the event. Balloon Craze reserves the right to withdraw services should this condition be violated. In such cases, all payments made will be forfeited.

Balloon Décor Installation & Guarantee

At Balloon Craze, we use only high-quality, environmentally friendly latex balloons sourced from reputable distributors. We do not work with balloons provided by clients or purchased outside of Balloon Craze. Our commitment to professional-grade products ensures the best results and durability.

Indoor Décor

  • Décor installations may take place up to two days prior to your event.

  • Most designs use air-filled balloons, which typically last a week or more.

  • Helium-filled latex balloons are treated with Hi-Float and can last at least two days.

Outdoor Décor

  • Outdoor balloon décor will be installed on the day of the event.

  • Due to exposure to elements such as humidity, wind, rain, temperature fluctuations, and sunlight, we cannot guarantee the longevity of outdoor décor.

  • Balloons used outdoors may develop a velvet or matte finish due to oxidation.


In the event of inclement weather (e.g., rain, hail, thunderstorms), Balloon Craze offers the following options:

  1. Relocate décor indoors, maintaining the original design as closely as possible, with minimal changes or additional charges.

  2. Reschedule the event to a different date/time (subject to availability) at no additional cost—unless the new location is outside our delivery zone.

Delivery, Set-Up, Take-Down & Rental Pick-Up Fees

These services are billed separately and will be itemized in your quote:

  • Delivery: Transporting agreed-upon items to the event location at a rate of $3.50 per mile.

  • $100 per hour: Assembling and installing décor on-site at Set-Up

  • Take-Down/Strike/Rental Pick-Up: Returning post-event to remove and collect items provided by Balloon Craze (balloons, rentals, framing, etc.). Additional charges apply.

Striking & Disassembly

  • Following an event, the Client is responsible for properly disassembling and returning all rental equipment and materials belonging to Balloon Craze, as well as appropriately disposing of any remaining balloons.

  • If the Client prefers, Balloon Craze can handle the strike and disassembly for an additional fee, which will be included in the quote at the time of booking.

  • Should the Client choose to handle teardown themselves after paying a striking fee, the payment will be non-refundable and forfeited, as the time was reserved for service.

Ownership of Equipment & Materials

All materials, equipment, and decorative props used by Balloon Craze remain the sole property of Balloon Craze and are provided strictly on a rental basis.

 

  • The Client must ensure Balloon Craze has access to retrieve all rental items after the event.

  • By signing the Terms & Conditions, the Client accepts full responsibility for the condition and return of all rented equipment from the time of installation until it is returned.

  • Failure to return rental items may result in charges to the card on file or issuance of an invoice, which the Client agrees to pay in full.

  • The Client assumes full financial responsibility for any damage, loss, theft, or misuse of Balloon Craze property, including damages caused by guests or due to uncontrollable circumstances (e.g. fire, flood, earthquake, vandalism).

Balloon Float Time

Balloon decor is customized based on the specific needs and timing of your event.

  • Latex balloons have an approximate float time of 12 hours.

  • Mylar/Foil balloons typically float for about 1 week.

  • Float time may vary based on several factors, including weather, humidity, wind, or exposure to extreme temperatures.

  • Clients planning outdoor installations should consider these limitations when selecting a date and time.

Balloon Releases

Balloon Craze does not participate in or support balloon releases under any circumstances, regardless of the quantity requested.


Balloon releases—though symbolic—are harmful to the environment. Released balloons can travel vast distances and end up as litter, posing risks to marine life, wildlife, and livestock.

 

  • Balloon Craze will not fulfill orders intended for release.

  • We actively discourage participation in balloon release activities and promote environmentally responsible alternatives.

Outdoor Events & Weather Policy

WE DO NOT CANCEL DUE TO WEATHER unless officially classified as dangerous weather or a natural disaster by local/state/government authorities.


By agreeing to the Terms & Conditions, the Client understands and accepts the following:

 

  • Balloon Craze is not liable for any changes in balloon appearance or longevity caused by temperature, humidity, wind, or other uncontrollable weather conditions.

  • Outdoor installations are subject to environmental factors and results cannot be guaranteed. While we aim to deliver exceptional results, perfect outcomes cannot be promised in outdoor settings.


In the event of weather-related complications:

 

  • If weather prevents the installation at the original outdoor location, the Creative Director reserves the right to move the decor to an alternate area onsite (at the same address) to complete the installation.

  • It is the Client’s responsibility to secure and prepare an alternate indoor or sheltered space in advance. Failure to do so will result in forfeiture of all payments, which are non-refundable.

  • Balloon Craze will make every reasonable effort to adapt and deliver a high-quality installation, but cannot guarantee a flawless outcome in such conditions.

Rescheduling Policy for dangerous weather or natural disaster only):

  • If the event is officially canceled due to a natural disaster or hazardous conditions, the Client may reschedule the installation within 365 days at no extra charge.

  • The rescheduled date is subject to availability and must occur at a location within our delivery zone.

  • Rain, wind, or bad weather not declared “dangerous” by local authorities does not qualify for cancellation or rescheduling. In such cases, payments remain non-refundable and non-transferable.

  • Balloon Craze commits to showing up and being installation-ready in all weather conditions, except when roads are closed due to safety concerns.

Rescheduling Policy for dangerous weather or natural disaster only):

  • All pricing, including but not limited to the retainer fee, delivery fee, installation fee, striking/disassembly fee, cancellation fee, and any other associated charges, will be clearly outlined and confirmed during the booking process.

 

  • All payments made are non-refundable, regardless of the reason. Please ensure that all necessary details are coordinated with any third-party vendors prior to finalizing your booking with Balloon Craze

Breakdown of Fees

  • Retainer Fee: 50% of the total order (may vary depending on the project; assessed on a case-by-case basis)

  • Delivery Fee: Starting at $20; for deliveries 100 miles or more, please contact us for a custom quote

  • Installation Fee: 30% of the total order

  • Striking/Disassembly Fee: $250 flat rate (must be paid in advance and listed in your booking confirmation)

  • Cancellation Fee: $100

> Avoid this fee by submitting a written reschedule request at least 7 days prior to your event

Display & Promotion

By agreeing to the Terms & Conditions, the Client grants Balloon Craze full permission to photograph and record the completed décor and to use these images/videos for promotional purposes across any marketing platform. This includes, but is not limited to:
 

  • Social media channels

  • Website galleries

  • Flyers, billboards, and commercials

  • Print and digital advertising

 

All designs created and installed by Balloon Craze remain the intellectual and visual property of Balloon Craze. We reserve the right to:
 

  • Use any photographs or videos taken of our installations—whether captured by Balloon Craze, the Client, guests, photographers, or other vendors.

  • Add our official Balloon Craze watermark or logo to any images or recordings of our work.

  • Decline the use of certain photographs or video footage if deemed unfit for brand representation.

Vendors & Event Coordinators

Balloon Craze takes pride in delivering balloon decor that enhances the atmosphere and visual impact of your event. While we aim to collaborate respectfully with all event professionals involved, our primary focus is the design, delivery, and safe installation of balloon décor.


Please note:


Balloon Craze does not assist with the duties of other vendors outside of our agreed-upon services.
We are solely responsible for our work area, including safe installation, disassembly (if applicable), and cleaning up our materials.
We are not liable for the performance or quality of services provided by other vendors.
Any issues arising from third-party vendors must be resolved directly by the Client.
Balloon Craze will not issue refunds if our work is compromised due to delays, interference, or disruptions caused by other vendors.
If an event coordinator is involved, the Client must ensure the coordinator is fully informed of all Balloon Craze logistics and requirements in advance.

Pool Installation

For pool installations, Balloon Craze is not responsible for:

 

  1. Injuries resulting from slipping or falling on broken balloons.

  2. Damage to the pool’s filtration system caused by balloon debris.

  3. Any other damage to the pool or its systems, including but not limited to those listed above.

Balloon Drops/Releases

Additional terms and conditions may apply for balloon drops and releases, depending on the venue requirements and necessary staffing.

Independent Contractor Status

Balloon Craze operates as an independent contractor. This agreement does not create an employer-employee relationship.


The Creative Director and any associated team members:

 

  • Work independently and professionally.

  • Do not require supervision during setup or installation.

  • Are responsible solely for balloon décor and related services as outlined in the booking agreement.

Safety Protocols

Safety is a top priority. If Balloon Craze or a team member determines that an environment is unsafe for installation, we reserve the right to refuse or halt service until the issue is resolved.

 

  • Unsafe conditions caused by guests, vendors, or the venue will result in immediate withdrawal of our staff and equipment.

  • In such cases, balloon décor will be left onsite, and the Client will assume full financial responsibility for any incurred costs including travel, labor, and rentals.

  • Any event deemed unsafe by Balloon Craze will result in the Client and/or guests being blacklisted from future service.

  • Examples of unsafe conditions include, but are not limited to: physical threats, damaged infrastructure, exposure to hazardous materials, or an unsecured work area.

Pricing Changes & Acknowledgment

Pricing is subject to change without notice. However, once your booking is confirmed, all agreed-upon fees will be honored.


By signing the Terms & Conditions and/or submitting payment, you acknowledge and agree that:

 

  • You have read this document in full.

  • You understand and accept your responsibilities as the Client.

  • You understand the scope of services provided by Balloon Craze and the role of the Creative Director in your event.

Material Guarantee

All materials used by Balloon Craze are guaranteed to meet the specifications provided by the manufacturer. In the event that a product is discontinued or modified by the supplier, Balloon Craze reserves the right to make substitutions or adjustments as needed, based on material availability at the time of the event.


Any substitutions will be of comparable type and quality, ensuring the overall integrity and aesthetic of the design are maintained.


Please note: If any materials or equipment owned by Balloon Craze are damaged, lost, or misused while in the Client’s possession, the Client will be held responsible for the full replacement cost of those items.

Hold Harmless Agreement

By placing an order with Balloon Craze, you agree to release, indemnify, and hold harmless Balloon Craze, including its owners, employees, contractors, and affiliates, from any and all liability, claims, demands, or causes of action that may arise from the use, handling, or presence of balloons and related materials provided.


This includes, but is not limited to, the following risks:

 

  • Inhalation of helium or other gases

  • Oxygen deprivation or related symptoms

  • Slips, trips, or falls caused by broken or loose balloons

  • Allergic reactions, including latex-related allergies

  • Injuries or incidents involving children accessing balloons before, during, or after events

  • Choking hazards from balloons placed in the mouth

  • Bodily injuries (including eye, face, or other physical harm) caused by balloon popping

  • Emotional or physical shock (e.g., heart attacks) triggered by loud noises

  • Hearing damage from loud pops or bursts

  • Cuts, abrasions, suffocation, or any physical trauma caused by balloon use

  • Serious injury, including broken bones or loss of bodily function

  • Loss of consciousness, dizziness, or disorientation

  • Death or any other harm resulting directly or indirectly from balloon-related incidents


By proceeding with your order, you acknowledge, understanding of these risks and voluntarily accept full responsibility for any consequences that may occur.
